In-person and virtual registration
Participants are welcome to join BioHackathon Europe, either on-site or online, regardless of project submission. Attendance is free, but in-person participants must cover their own travel and accommodation costs. For pricing details, visit the Venue page.
The review process for in-person participation has now been completed. If you were not offered a place, or would still like to attend in person, you can join the waiting list. Should places become available, additional participants will be invited from the waiting list.
Please note that all in-person participants are required to stay for the whole duration of the BioHackathon, at the event venue.
Who can register?
Everyone is encouraged to submit project proposals for BioHackathon Europe, irrespective of affiliation. Although ELIXIR Europe organises and funds this event, participants from industry, SMEs and non-ELIXIR countries or organisations are welcome to join the waiting list for in-person attendance or register to attend virtually.

Registration and attendance
Project co-leads have been invited to register directly and have received specific registration instructions.
The review process for in-person attendance has now been completed and applicants have been notified of the outcome. A waiting list is now open for anyone who would still like to attend in person. If places become available, additional participants will be invited from the waiting list.
Attendance will only be fully confirmed once accepted participants have paid the venue for their accommodation.
Virtual attendance
Participants wishing to attend virtually may register at any time. At present, we do not expect virtual registration to close ahead of the BioHackathon.
Funding
BioHackathon Europe is committed to open participation. Approved project proposal co-leads may designate up to three participants for on-site attendance, regardless of affiliation. This allocation will be determined during project proposal submission. Since these reserved seats reduce availability for open registration, the following guidelines apply:
- A maximum of three on-site participants per project can be reserved
- ELIXIR may fund up to two of these participants, provided they belong to an ELIXIR Node
- ELIXIR will not provide any additional funding beyond this
What ELIXIR covers
All meals at the venue, from lunch on Monday through to lunch on Friday, are covered for all in-person attendees.
ELIXIR will also cover the following costs for funded project co-leads:
- Accommodation: Four nights at the venue (see the Venue page for details). ELIXIR will pay this directly, so funded participants do not need to arrange payment.
- Transport to and from the venue: Reimbursement of up to €400 (including VAT) on a claim basis for transport only (this includes flights, public transport and taxis). Please note that ELIXIR will not reimburse any amount over €400.
Please note that no food or drink expenses will be reimbursed by ELIXIR. This includes any food or drink purchased while travelling to and from the venue, and during the event.
Funded project co-leads will receive reimbursement guidance and funding information directly by email. Transport expense claims can only be submitted after the event has taken place and will only be processed once all required documentation has been provided.
Important: This funding is strictly for the BioHackathon event and cannot be transferred to another attendee or event.
Our commitment to gender balance and diversity
ELIXIR is committed to fostering an inclusive environment where everyone can participate, collaborate and thrive. This commitment to equality, diversity and inclusion (EDI) is reflected in the design and organisation of the BioHackathon.
We actively promote gender-balanced and diverse representation across all roles involved in the event. This approach aligns with ELIXIR’s broader EDI efforts, including recommendations from the ELIXIR Scientific Advisory Board and Heads of Nodes, as well as the STEERS Gender Equality Plan Strategy and ELIXIR’s Leadership and Diversity Mentoring Programme (ELEAD).
Diversity and inclusion are considered from the earliest stages of the BioHackathon, beginning with the project proposal stage. We have therefore introduced the prerequisite for project proposals to demonstrate a balance of experience among the three project co-leads, with at least one BioHackathon veteran and one newcomer.
As organisers, we will do our best to facilitate balanced and diverse onsite participation. To support the creation of new networks and collaboration across Nodes, we will carefully consider registration data, project interests and participant affiliations to shape balanced participation at the BioHackathon.
We recognise that diverse teams drive better collaboration, more innovative thinking and stronger outcomes. Broadening participation strengthens the quality and impact of individual projects, expands the reach of the BioHackathon across communities, and contributes to building a sustainable and diverse talent pool in ELIXIR.
Code of Conduct
BioHackathon Europe follows the ELIXIR Code of Conduct to ensure a respectful and inclusive environment for all participants. The Code of Conduct applies to both in-person and virtual interactions during the event.
